# Import Your Art Collection into Artopia via CSV or Migration

> Bring your existing art collection into Artopia from a spreadsheet, CSV, or platforms like Artlogic, Artwork Archive, and Art Record.

If you have existing collection records, Artopia makes it straightforward to bring them in, whether you're working from a spreadsheet or migrating from another platform.

## Import via CSV or Excel

<Steps>
  <Step title="Use the template">
    Click **New** in the side navigation panel and select **Import artworks**. On the import screen, download the Artopia CSV template.

    Open the template in Excel, Google Sheets, or Numbers and fill in your artworks. The template includes the following columns:

    | Column         | Description                             |
    | -------------- | --------------------------------------- |
    | Artist         | Artist's full name                      |
    | Title          | Artwork title                           |
    | Creation Date  | Year or full date of creation           |
    | Medium         | Materials used (e.g. Oil on canvas)     |
    | Height         | Numeric height value                    |
    | Width          | Numeric width value                     |
    | Depth          | Numeric depth value (if applicable)     |
    | Unit           | Unit of measurement (e.g. `cm` or `in`) |
    | Purchase Price | Numeric price paid                      |
    | Currency       | Currency code (e.g. `USD`, `GBP`)       |
    | Purchase Year  | Year of acquisition                     |

  <Step title="Already have a spreadsheet? (Optional)">
    If your collection is already in a CSV or Excel file with different column names, use an AI assistant to reformat it to match the Artopia template. Skip this step if you're filling in the Artopia template directly.

    1. Open [ChatGPT](https://chatgpt.com), [Claude](https://claude.ai), or any AI assistant.
    2. Upload both the Artopia CSV template and your own file.
    3. On the import screen, click the **copy icon** to copy the ready-made prompt, then paste it into the AI assistant.
    4. Download the reformatted file and use it in the next step.

  <Step title="Upload your file">
    Upload your completed CSV or Excel file using the upload area, click to browse or drag and drop your file.

    Artopia shows a preview of all detected rows, including artist name, title, and import status. Any new artist names that don't match existing records in your collection are flagged, so you can check for typos before confirming.

    Click **Import artworks** to complete the import.

## Migrating from another tool

If you're moving from an existing platform, export your data from that tool and send it to [app@art-opia.com](mailto:app@art-opia.com), the Artopia team will handle the rest.

    1. Go to **Artworks** in your Artlogic account.
    2. Click **Create…** then **Export…**.
    3. Select the **CSV export** option and download the file.
    4. Send the file to [app@art-opia.com](mailto:app@art-opia.com) and the Artopia team will take it from there.

    1. Go to **Artworks** > **Pieces** in your Artwork Archive account.
    2. Click **New Report** and select **Export to CSV**.
    3. Download the exported file.
    4. Send the file to [app@art-opia.com](mailto:app@art-opia.com) and the Artopia team will take it from there.

    1. Go to **Settings** in your Art Record account.
    2. Click **Download Entire Archive**.
    3. Art Record will prepare a ZIP file containing all your collection data, this can take around a day to arrive.
    4. Send the ZIP file to [app@art-opia.com](mailto:app@art-opia.com) and the Artopia team will take it from there.
