Files uploaded to an artwork are private by default and only leave the record if you explicitly share them in an export, transfer, or public collection page.

Images

Add images from your media library or upload new ones directly on the artwork record.
  • Drag-and-drop is supported anywhere in the image panel.
  • HEIC and HEIF files (from iPhone) are converted to JPEG automatically.
  • The first image is the primary. It’s what appears on lists, cards, and public pages.
  • Drag to reorder at any time; the new first image becomes the thumbnail.
  • Add as many images as you need: front, back, detail shots, installation views, framing.
A good primary image goes a long way. Front-facing, well-lit shots read best in lists and public pages.

Documents

Attach the paperwork that lives alongside the work:
  • Certificates of authenticity
  • Invoices and receipts
  • Appraisals and valuations
  • Condition reports
  • Loan agreements, shipping documents, and any other files
Each document has a type label so you can quickly tell them apart in the list. Documents stay private to you unless they’re explicitly included in an export or transfer.

Where uploaded files appear

  • Images show on the artwork detail page, in list and grid views, on public collection pages, and in exported PDFs.
  • Documents are listed on the artwork detail page and can be attached to specific entries (provenance, exhibitions, condition reports, value history) for extra context.
